AI Appointment Setter That Books Calls From Every DM

An AI appointment setter replies to the people who message your business, works out whether they are a good fit, and books the ones who are onto your calendar. DMclose builds one for your business. It answers Instagram DMs, story replies and comment keywords within seconds, day or night, along with Facebook Messenger, WhatsApp, SMS and email.

Most leads ask one question and wait a few minutes. If nobody answers, they go back to scrolling, and by the time you reply the next morning they have forgotten why they messaged. A setter that answers straight away keeps the conversation going while the person still cares.

DMclose is an agency. We write the setter around your offer and the way you talk, test it with you before it goes live, and keep improving it after launch.

Where booked calls get lost

  • Replies come hours latePeople message in the evening, at weekends and between meetings. If the reply lands the next day, many of them have moved on or booked with whoever answered first.

  • Every lead gets the same treatmentWithout a few qualifying questions, your calendar fills with calls from people who can't afford the offer or aren't ready yet, while good leads wait in the inbox.

  • Follow-up depends on memoryA lead says "let me think about it" and the chat sinks down the inbox. Nobody follows up, and an easy booking is gone.

  • Booked calls don't show upA call booked days ahead is easy to forget. Without reminders and an easy way to reschedule, no-shows eat the time you set aside for sales.

How it works

How your AI appointment setter works

  1. We build it around your offer

We learn your offer, who it is for, the questions leads ask and how you talk. Then we write the setter's messages and qualifying questions and test them with you before launch.

  2. It replies in seconds

New DMs, story replies, comment keywords, Messenger, WhatsApp, SMS and email all get a reply within seconds, in your voice, at any hour.

  3. It qualifies the lead

It asks what the person wants, when they want to start and whatever else you need to know, in a normal back and forth. People who aren't a fit get a polite answer and no call.

  4. It books the call

Qualified leads are offered open times and booked inside the chat. It books into the calendar or booking tool you already use (Google Calendar and others), and we confirm the integration on the demo call.

  5. It follows up and reminds

Leads who went quiet get a follow-up, and booked leads get reminders before their call, so fewer people slip away or miss their slot.

What it sounds like

Example Instagram DM: a story reply to an online fitness coach at 10:40 pm. Illustrative.

Leadhow does your coaching work? been trying to drop weight for ages

DMclose AIHey, thanks for reaching out! 🙌 It's 1:1 online coaching: training plan, nutrition and weekly check-ins. What have you tried so far?

Leadgym on and off, couple of apps. nothing sticks

DMclose AITotally get that. Are you hoping to start in the next few weeks, or just looking around for now?

Leadnext few weeks ideally

What the AI handles, and what stays with your team

The AI handles

  • Replying to Instagram DMs, story replies and comment keywords, 24/7
  • Facebook Messenger, WhatsApp, SMS and email conversations
  • Questions about your offer, answered with the replies you approve
  • Asking your qualifying questions and screening out poor fits
  • Booking qualified leads onto your calendar inside the conversation
  • Following up with leads who went quiet and reminding people before their call

Your team handles

  • The sales call itself, run by you or your closer
  • Leads who ask to speak to a person, or conversations that need one
  • Complaints, refunds and anything sensitive
  • Medical, legal or financial advice, which the setter never gives
  • Any question outside the answers you have approved. It hands over instead of guessing.

Field notes

What people who build and run AI setters have learned

We went through recent builds, interviews and threads from people running AI setters and human setting teams, and kept the practical points vendor pages tend to skip. Where a tactic or number comes from someone else, we say who and link to it.

  • Offer the link and the chatSeveral people in a GoHighLevel thread on Reddit recommend the same setup for leads from ads: show a booking link right after the form for anyone ready to book, then have the AI message everyone who didn't and book them in the chat. Ready buyers aren't slowed down, and the rest still get a conversation.Source: r/gohighlevel: AI appointment setter vs calendar booking

  • Give the AI every lead, and make your setter its managerBryce, founder of CloseBot, advises against splitting leads half to the AI and half to a human setter. He suggests letting the AI handle all of them and moving the setter into reviewing conversations and training the AI, much like managing a new hire.Source: Matt Shiver with Bryce of CloseBot (YouTube)

  • Check the rules on saying it's an AIIn the same interview Bryce points to the EU AI Act, which requires a sales assistant talking to people in the EU to make clear it is an AI or automated assistant, and he expects other places to follow. He says himself that he isn't a lawyer, so check the rules where your leads live. Pretending to be a person is where the legal and trust risk sits.Source: Matt Shiver with Bryce of CloseBot (YouTube)

  • Instructions for what it must know, a knowledge base for the restAnything the setter should always have in mind, such as who you help, your offer and how you qualify, goes in its main instructions. Details it only needs when asked, like parking or refund terms, go in a knowledge base. Bryce explains that the AI only looks in the knowledge base when its instructions don't cover the question.Source: Matt Shiver with Bryce of CloseBot (YouTube)

  • Ask again in different words, then move onIn Marton Fur's live Instagram demo, a lead dodges a qualifying question with "I don't know, man". The setter rephrases the question and is set to move on after two or three tries, so the chat doesn't stall on one answer.Source: Marton Fur: live demo of an AI setter in Instagram DMs (YouTube)

  • Get the time zone from the keywordThe same coach runs a separate DM ad keyword for each city, so the setter knows the lead's time zone before it offers call times. In the demo Marton still double-checks the booked time, which is worth copying: test time zones and blocked days before you go live, because that is where bookings quietly go wrong.Source: Marton Fur: live demo of an AI setter in Instagram DMs (YouTube)

  • Follow up on what they saidJordan Platten sets AI-written follow-ups that refer back to the conversation, sent about 3 hours and then 6 hours after a lead goes quiet, and switched off as soon as they reply. He also adds a short delay before replies so they don't arrive instantly. That cuts against the usual "reply in seconds" advice; we'd keep first replies fast and use the delay to make longer chats feel natural.Source: Jordan Platten: building an AI appointment setting agent live (YouTube)

  • Look after the call once it's bookedAfter booking, Marton's setter sends a short prep video and asks whether anything would stop the lead from making the call. It gives people a reason to turn up and brings clashes to the surface before the call instead of after it.Source: Marton Fur: live demo of an AI setter in Instagram DMs (YouTube)

  • Use the owner's real voice at the right momentsRather than an AI voice, Marton drops pre-recorded voice or video notes from the coach into the chat, for example a client story that matches the lead's goal. Bryce adds that breaking long replies into a few short messages makes the conversation read more like a person typing.Source: Marton Fur: live demo of an AI setter in Instagram DMs (YouTube)

  • Expect people to test itBen Lister, who trains human setters, describes leads telling a bot to ignore its instructions and write them a recipe, just to catch it out. A setter needs clear limits on what it will discuss and a hand-off to a person when someone pushes.Source: Ben Lister: why AI won't replace appointment setters (YouTube)

  • Higher ticket, more humanBen's argument is that the higher the price and the deeper the problem, the more a buyer wants a person involved. Most builders we looked at land on a mix: the AI handles speed, qualifying, follow-up and tracking, and people take the sales call and the delicate conversations.Source: Ben Lister: why AI won't replace appointment setters (YouTube)

  • Results other people reportCloseBot says one client found about 60% of bookings came from the AI with no human involved, with most of the rest being human setters taking over chats the AI had started. In Jordan Platten's live build, 36% of the leads who replied went on to book. These are their numbers, not ours, and they depend heavily on the offer and the lead source.Source: Matt Shiver with Bryce of CloseBot (YouTube)

AI appointment setter FAQ

What is an AI appointment setter?

An AI assistant that does a setter's job in your inbox. It replies to new leads, asks qualifying questions, books the good fits onto your calendar and follows up with the rest. A DMclose setter works across Instagram, Facebook Messenger, WhatsApp, SMS and email.

How does an AI setter compare with hiring a human setter?

Figures people share vary a lot. Matt Shiver puts a full-time setter at roughly $3,000 to $5,000 a month, and a founder on Reddit says each of his setters cost about $4,000 a month fully loaded, took three weeks to train and left within months. Offshore chat-only setters also advertise for a few dollars an hour. An AI setter doesn't quit or need retraining when someone leaves, but someone still has to review its conversations and keep it up to date.

Does an AI setter have to say it's an AI?

It depends where your leads are. The EU AI Act requires people to be told when they are talking to an AI, and other places may follow. Rules differ by country, so check with someone qualified for your market. Pretending to be a person carries the most legal and trust risk.

How much does an AI appointment setter cost?

DMclose uses performance-based pricing, including a pay-per-qualified-call model. The details depend on your offer, and we go through them on the demo call.

Will it sound like a bot?

We write the messages with you, in your tone, and test them before launch. You can see what it says to leads, and we keep adjusting it after it goes live.

Does it replace my human setter?

It can take over the first reply, the qualifying questions, the booking and the follow-up. The sales call stays with you or your closer. Our guide on AI vs human setters goes through the trade-offs.

Do you have real results?

Yes. For a UK men's coach, qualified booked calls went from 10 to 25 a month, cost per qualified booked call fell from £20 to £2 within the first week, and replies went out in under a minute. The full case study is linked below.
