AI Appointment Setter for Fitness Coaches

An AI appointment setter for fitness coaches replies to the people who DM you after a reel, a story or a comment keyword. It asks about their goals, works out whether you can help, and books the good fits onto your calendar for a call. DMclose builds one for your coaching business in your voice, and it answers within seconds at any hour.

Most online coaches answer their own DMs at first, then hire a setter, then spend evenings checking what the setter sent. A setter has one job: find out if someone is a fit and get them on a call. AI can do that job well when the questions are right and the hand-off to you is clean.

We are an agency, so we build the setter, launch it and keep improving it. You keep making content and taking the calls. For a UK men's coach we built one for, qualified booked calls went from 10 to 25 a month.

Where fitness coaches lose clients in the DMs

  • Replies come hours laterPeople message after a reel at 10pm, or between sets at the gym. If your answer arrives the next afternoon, they have already watched three other coaches and moved on.

  • The pitch comes too earlySending "here's how my program works" in the second message makes people feel sold to. The DM should find out where someone is and whether you can help. The call is where you talk about coaching.

  • Poor fits get booked anywaySomeone who started trying last week, or who is a few weeks into another coach's program, rarely buys. Booking everyone who replies fills your calendar with calls that go nowhere.

  • A viral week buries the inboxWhen a reel takes off, hundreds of new followers arrive at once and nobody can message them all by hand. Your busiest weeks end up being the ones where the most leads get missed.

  • Human setters come and goSetters in online fitness are often paid commission, work several accounts in different time zones, and leave when a better offer shows up. Then you hire and train someone new.

How it works

How your AI setter books calls

  1. Reply in seconds

New Instagram DMs, story replies and comment keywords get a reply in your voice straight away, weekends included. It can also work Facebook Messenger, WhatsApp, SMS and email.

  2. Get specific about the goal

"I want to lose weight" turns into how much, by when, and what they have tried so far. Specific answers make the rest of the chat, and your call, much easier.

  3. Qualify from broad to personal

Questions start easy and get more personal slowly: the goal, how long they have been stuck, what they have tried or which coaches they have worked with, and what is stopping them now. Each reply acknowledges their last answer and ends with a single question, because people tend to answer the last line they read. Deeper conversations about how the problem makes them feel wait for the call.

  4. Offer a call as advice

When someone is a fit, the setter asks whether they would like some advice, then suggests a short call to look at where they are and how to reach their goal. Coaching comes up at the end of the call if they want to hear about it.

  5. Book inside the chat

It offers real open times from your calendar and books the call in the conversation, so nobody has to click away to a booking page.

  6. Remind and follow up

It sends confirmations and reminders before the call, follows up with people who went quiet, and checks back in with anyone who said "not right now".

What it sounds like

Example conversation: Sunday, 10:14pm, someone comments "PLAN" on a fat loss reel. Names, times and details are illustrative.

DMclose AIHey! Saw your comment 🙌 Sending the plan over now. Out of interest, what are you working towards at the moment?

Leadthanks!! honestly just want to lose weight lol

DMclose AILove that. Roughly how much are you hoping to lose, and is there a date you have in mind?

Leadlike 20 lbs? would love to be there by summer

DMclose AIGot it, thanks for sharing. How long have you been working on it?

Leadon and off for 2 years. i do great for a few weeks then fall off

DMclose AITwo years of stop and start is tiring 😅 What have you tried so far? Any apps, plans or coaches?

Leadapps mostly. did a meal plan from my gym but it was way too strict

DMclose AIMakes sense, a plan you can't live with is hard to stick to. Would you be open to some advice on doing it differently this time?

Leadyeah defo

DMclose AIEasiest way is a quick call with Coach Dan. He'll look at where you are now and what would get you to summer. If you want to hear about coaching he can cover it at the end, zero pressure. He has Tuesday at 6:30pm or Wednesday at 12pm, would either work?

Leadtuesday!

DMclose AIDone ✅ You're booked for Tuesday at 6:30pm. What's the best number for your reminder?

What the AI handles, and what stays with your team

The AI handles

  • Instant replies to DMs, story replies and comment keywords, including the flood after a reel takes off
  • Sending the guide or plan someone commented a keyword for, then starting the conversation
  • Questions about how your coaching works, who it is for and what happens on the call, using answers you approve
  • Qualifying goals, timeline, what they have tried and whether they already work with a coach
  • Booking calls onto your calendar, with confirmations and reminders
  • Following up with people who went quiet or said "not right now"

Your team handles

  • The sales call, where you or your closer talk through coaching and price
  • Injuries, pain, medical conditions, medications, pregnancy and eating disorders. The AI never gives advice on these and passes them to you.
  • Personal training or nutrition plans for a specific lead
  • Current clients asking about their program or billing
  • Anything the AI is not confident about. It hands the conversation to you instead of guessing.

Questions fitness coaches ask us

Will the AI give training or diet advice?

It shares only general information you approve, such as what your coaching includes. It does not write plans, and it does not answer questions about injuries, medical conditions or medications. Those go to you, and the lead is told you will reply.

What if someone asks whether they are talking to a bot?

It should tell the truth. Some AI setters dodge the question or pretend to be the coach, and we recommend against that. The EU AI Act requires people to be told when they are talking to an AI, and other places may follow, so check the rules where your clients live.

Do I need an AI setter if I only get a few DMs a day?

Maybe not yet. A setter, human or AI, works the leads you already have and does not create new ones. If you get a handful of DMs a day and answer them quickly, doing it yourself is fine. It starts to pay off when replies slip, when daily posting keeps the inbox growing, or when you would rather spend that time on content and calls. Booking more calls also won't fix an offer that doesn't sell on the call.

How does it compare with hiring a human setter?

Human setters in online fitness are usually paid a commission on what they book. One fitness business coach on YouTube says he pays his setters between 5% and 10% of cash collected. You also hire them, train them and check their messages. An AI setter replies at any hour and handles a viral week without extra hires. You can still read every conversation, and we keep tuning it after launch. Our guide on AI vs human setters goes deeper.

What do I need to do on my side?

Keep posting, and keep a few stories up. Leads often check your profile in the middle of a conversation, and recent stories help them get a feel for you. Then show up to the calls. We handle the setup and the channel connections, and bookings go into the calendar or booking tool you already use, which we confirm on the demo call.

How is it priced?

Appointment setting uses performance-based pricing, including a pay-per-qualified-call model, so you pay for qualified calls rather than software seats. We go through the details for your coaching business on the demo call.
